Here's an elaboration on the purpose of each setup step:
- Step 1. Create Client: An organisation or employer that engages with a recruitment agency to fill job positions with qualified candidates. Clients can be businesses, companies, or other entities seeking to hire employees for various roles within their organisation.
- Step 2. Create a Job: An employment opportunity or position that needs to be filled within an organisation. It serves as a central hub for all related information—such as job descriptions, requirements, candidate applications, and hiring stages—helping streamline the recruitment process and manage vacancies efficiently.
- Step 3. Shortlist and Screen a Candidate: Review resumes to identify candidates who match job requirements, then screen them through interviews, calls, and assessments to advance only the most qualified to the final hiring stages.
- Step 4. Contact Candidate: Communicate directly with candidates via email or SMS to exchange information, schedule interviews, and streamline interactions.
- Step 5. Contact clients and its contacts: Manage client relationships to improve satisfaction and retention, maintain effective communication, and support business growth by addressing clients’ recruitment needs.
- Step 6. Activity Management: Track, organise, and optimise all recruitment interactions, tasks, and communications, including candidate activities, job-related tasks, client engagements, and appointment scheduling.
- Step 7. Share CV: Send a candidate’s resume directly through the platform, streamlining collaboration and simplifying the recruitment process.
- Step 8. Interview Candidate: Evaluate a candidate’s skills, qualifications, and cultural fit, verify resume information, and assess communication to ensure alignment with the role and organisation.
- Step 9. Close Job: Mark a job posting as no longer accepting applications, typically after filling the position or if the job is no longer required.
- Step 10. Reopen Job: Make a previously closed job posting available again for new applications, allowing the position to be reconsidered for hiring due to changing needs.
- Step 11. Add Call Log - Call History: View all calls across profiles in one place. Use the new Add Call Log feature to manually record calls directly from the Call History page for quick and easy access.
- Step 12. System Settings – Candidate Source: Manage candidate application sources like Application Forms, Broadbean, SEEK, EOH, and Xeople SmartEmail. Add or edit custom sources, modify child sources linked to parents, and ensure consistent, flexible tracking of candidate data.
- Step 13: Job Posting – SEEK: Advertise job vacancies by creating detailed descriptions and posting them on SEEK and other platforms to attract qualified candidates efficiently.
- Step 14. Job Posting – Broadbean: Post job listings across multiple online channels using Broadbean, a global distribution platform that streamlines recruitment.
- Step 15. Assign Candidate Manually: After adding a candidate via Form, Application Form, Xeople SmartEmail, or Entire OnHire, manually assign them to a job after reviewing their resume.
- 16. Job Board – Native Apply: Post jobs directly on SEEK and Broadbean from XeopleRecruit using the Native/Quick Apply feature, allowing candidates to apply without leaving the platform.
- Step 17. Job Posting – Link Out (Application Form): For example, with SEEK: The Link Out feature directs candidates applying through SEEK straight to the mandatory Application Form selected in the link-out setup. When they click on a job listing, they’re seamlessly redirected to the form, making it quick and easy to complete and submit their application.
- Step 18. Xeople SmartEmail: Source candidates by using the job-specific Xeople SmartEmail ID. Candidates who send their resumes to this ID are automatically added to the system and mapped to the corresponding job, each identified by a unique job reference ID.
- Step 19. Xeople Search - Proprietary Pool: Source candidates into XeopleRecruit by broadcasting jobs to specific members in the Entire OnHire pool.
- Step 20. Xeople Search – Entire OnHire Pool: Search, match, and extract candidates from Entire OnHire into XeopleRecruit. Select specific data to export, such as Skills & Expertise, Notes, and Emergency Contacts, using defined search parameters.
