Job Posting - Link Out

For example, with SEEK: The Job Posting – Link Out feature ensures that candidates applying through SEEK are directed straight to the mandatory Application Form selected in the link-out setup. When they click on a job listing, they’re seamlessly redirected to the form, making it easy to complete and submit their application.

In the case of SEEK (Apply Type) - Link Out, if the SEEK Job Posting Integration is enabled, then upon publishing the job, candidates will see an additional application option - Apply with SEEK alongside the existing options Autofill with resume and Apply manually.

  • All the fields in the Job Ad are similar in case of Native Apply and Link out except the Apply Type. Which may be Native Apply (With or without application form) or Link Out (application form is mandatory). This scenario refers to a Link Out case.

Apply Type refers to the method or flow through which a candidate submits their job application. It defines how and where the application is completed whether the candidate applies within the system or is redirected elsewhere to apply. In simple terms, it controls the application experience presented to the candidate when they click Apply.




Seek – Job Ad – Apply Type – Link Out

  • When the job is published on SEEK, candidates will see an Apply option on the job listing.



Job Posted - SEEK - Apply

    • Candidates applying from this page will be redirected to Start your application page to select from the three options. Autofill with resume, Apply Manually and Apply with Seek.
      • Autofill with resume: This option allows candidates to upload their resume, and the system automatically extracts relevant details (such as name, contact information, experience, etc.) to prefill the application form. Candidates can then review and edit the information before submitting.
      • Apply Manually: In this option, candidates complete the application form by entering all details themselves. No information is prefilled, so they manually provide their personal, professional, and other required details.
      • Apply with Seek: This option lets candidates use their SEEK profile to apply. After logging in and giving consent, their profile information is automatically pulled from SEEK and used to prefill the application form, which they can review and submit.




Apply Options – Link Out

Apply with Seek

  • When a candidate clicks on Apply with Seek, this will prompt candidates to log in to their SEEK profile if they are not already signed in. If they are already logged in, they will be directly redirected to the Allow Access to XR screen.

Seek - Login

    • Upon selecting Apply with SEEK, candidates will see a pop-up requesting consent to allow XR to access information from their SEEK profile.
    • XR has an existing integration with SEEK; however, candidate data is only accessed after explicit permission is granted. Based on the candidate’s selection—Allow access or Not Now—SEEK redirects them back to XR.
    • If the candidate selects Allow Access, XR retrieves their profile details and pre-fills the application form. If Not Now is selected, the candidate is redirected to the application form without any prefilled information.

 Logging in to SEEK alone does not share any data with XR. The candidate must explicitly grant permission for their profile information to be accessed. 

Allow Access – XR - Seek Profile

  • After the candidate selects Allow Access, XR extracts details from their SEEK profile and prefills the application form with the fields below:

    • First name
    • Last name
    • Email address
    • Mobile number
    • Resume (file)
  • Candidates can review the prefilled details, add or edit information as needed,

5. Application Submission Behaviour

Scenario

Description

Auto-fill via Resume

Once the resume is uploaded, the application fields are automatically populated using the extracted details. Candidates can review, edit, and submit the information. All extracted details will appear on the Candidate Summary page under Summary, and the resume will be available under Resume. Check out the field details: Share Job Apply Page link - Application Form Fields.

Manual Application

Candidates can also fill out the application form manually. The entered details will be reflected on the Candidate Summary page under Summary, and the resume will be parsed and available under Resume.

Mandatory Fields

All fields marked as mandatory must be completed before submission.

Input Flexibility

Fields may allow typing or selecting values depending on configuration.

Resume Parsing

In cases where a candidate is created through any source, the resume will be parsed automatically. If the resume is updated at any point, it will be re-parsed automatically as well.

  • After all the fields are verified, click Submit.

  • The application will be successfully submitted.

Candidate Application – Submitted

  • Once a candidate submits the application, the Primary Owner and Job Owner(s) will receive an email notification for the new application received.

Email – Primary / Job Owner(s) – New Candidate Application

  • The candidate will be created in the Candidate module and automatically mapped to the corresponding job in the Jobs module. You can click the job from the Candidate Summary >Jobs. This will navigate you to the specific job.
  • All the details extracted will be saved under the Candidate Summary>Summary and Resume section.
  • The resume will be automatically parsed, and you can view the extracted details under Candidate Summary > Resume > Parsed Resume.



Candidate – Created – Job – Mapped to Job

Apply with SEEK – Source Logic

  • Case 1: New Candidate Applying via SEEK Job Ad (Link-Out) using Apply with SEEK

    • When a new candidate applies to a job through a SEEK job advertisement configured as a link-out to the XR application form using Apply with SEEK, the candidate source will be recorded as SEEK.

Applied First Time through SEEK Link Out - Source - SEEK

  • Case 2: Existing Candidate Applying to Another Job via SEEK Job Ad (Link-Out) using Apply with SEEK

    • When an existing XR candidate applies to another job through a SEEK job advertisement configured as a link-out using Apply with SEEK, the application source will be recorded as SEEK.

       

Existing Candidate Applying through SEEK Link Out - Source - SEEK

  • Case 3: Existing Candidate Accessing Application Form Directly using Apply with SEEK
    • When an existing candidate, originally created through SEEK Link-Out, directly accesses the XR application form URL (shared job apply page link) (e.g., via a bookmarked or copied link) and applies to another job using Apply with SEEK, the application source will be recorded as Application Form.
    • However, the Candidate Summary will continue to display the original master source based on how the candidate profile was first created. For example, candidates initially created through SEEK Link-Out will retain the master source as SEEK.

Candidate Summary - First Time Candidate was created via SEEK (Master Source)

    • Upon clicking the candidate’s name, the Job Action screen will open, and under Candidate Applications, the Source will be reflected as SEEK or Application Form based on the way they applied. For example: SEEK.

Job Action - New/Existing Candidate - Source - SEEK

  • Resume Parsing enables quick and efficient searching of candidate information using Split Screen (Job Action) > Candidate > Keyword Search.
  • To view candidate details mapped under Job Action > Applications for this job posting, including how they responded to the desired screening questions from the application form — click here: Job Action. You can also view the application via Job Summary>List View> Three-dot placed in front of each candidate> View Application option.
    • The SEEK profile fields displayed in the split-screen view are automatically mapped to the corresponding fields in the application form as follows:

Job Expiry and Closure Scenarios

The following scenarios explain how candidate applications are handled when a job has expired or been closed in XR but remains visible on SEEK or Broadbean.

Case 1 – Job Expired in XR (Application Form Enabled) (Link Out)

If a job expires in XR but remains live on SEEK or Broadbean using an Application Form (Link Out), candidates who attempt to apply will receive a "Link Expired" message. As a result, they will not be able to submit an application.

Case 2 – Job Closed in XR

If a job is closed in XR before the job advertisement reaches SEEK's 30-day expiry period, the job may still remain visible on SEEK or Broadbean. Candidates can continue to submit applications through the advertisement; however, those applications will not be mapped to or associated with the closed job in XR. A candidate record will still be created in the system.

Case 3 – Job Expired in XR (No Application Form) ( Native Apply)

If the job expiry date in XR is reached before the SEEK expiry date, the job may remain active on SEEK. Candidates can continue to apply through SEEK, and their applications will be created in XR and mapped to the corresponding job.
