Create Client

Client  typically refers to an organisation or employer who engages with the recruitment agency to fill job positions with qualified candidates. These clients may be businesses, companies, or other entities seeking to hire employees for various roles within their organisation.

Before going through this article, we strongly recommend you read the Entire OnHire integration article, click here: Marketplace Configuration - Entire OnHire (EOH). This article will give you information on how EOH is integrated and how you can subscribe the feature(s) under it.

To ensure seamless integration between XR and EOH, it's assumed that the feature is subscribed to from the marketplace (Share Client).

Creating a client within XeopleRecruit offers several benefits:

  • Centralising client information streamlines and organises details like contact info, job requirements, and communication history, enhancing client relationship management.
  • Having client details enables you to effective communication on job specs, candidate submissions, and feedback, fostering clear and timely exchanges.
  • XeopleRecruit enables seamless tracking and management of client-associated jobs, allowing you to monitor statuses, submissions, and requirements in one platform.
  • Access to detailed client profiles and historical data empowers informed decision-making, aiding in trend identification, strategy optimisation, and service customisation to meet client expectations.

You can share client profile with Entire OnHire (EOH). This process serves multiple purposes:

  • Maintains a client repository in XR as well as in EOH.
  • Ensures that both XR and EOH maintain synchronised client data, facilitating consistency across platforms. 
  • If a client already exists in EOH, sharing a job from XR becomes more streamlined, eliminating redundant data entry for permanent/temporary placements.

  • In EOH, clients are linked with specific service or delivery locations, which play a crucial role in approving timesheets for members and other related processes.

To create a client, follow the steps below:

  • Navigate to the main navigation header bar and click on Clients.
  • Click on the (+) button.

Clients - Add Client

  • The add client screen appears. Fill in the required details.

A Client Relationship Manager (CRM) is a professional responsible for building and maintaining strong relationships with clients to ensure their satisfaction and loyalty.

 Longitude and latitude are necessary when creating a client to precisely pinpoint the client's geographic location. This information enables you to efficiently match candidates with job opportunities based on proximity, ensuring effective coordination and minimising travel time for interviews or meetings.

Add Client - Save & Share and Save & Exit

  • The Save & Share will open a pop-up. Shows information as follows:

The Save & Share will save the client in XR as well as share the c lient to EOH.

If EOH is not integrated, then this button will not display.

    • EOH logo on top sourced from the Marketplace.
    • The screen will display all the required fields which needs to be filled. Some fields are prefilled as listed below:
      • Location Name: Mandatory field prefilled with XR client name and cannot be edited.
      • EOH clients (Admin): All admin clients will be available in the single-select dropdown list. Once you select a client from the drop-down the location type will change from Admin and Service to Service.
      • Location Type: Mandatory field preselected as Admin and Service. Once you select the EOH client (Admin) it will change to Service. The XR client will be pushed as a Service Location type under the selected Admin client in EOH.
      • Industry Type: This mandatory dropdown field retrieves options via API from the Industry Master in EOH. It is required when setting the client as Active in EOH.
      • Servicing Office & Priority: This mandatory dropdown field is populated via the EOH API; it is a blank field, and users can manually select as needed.
      • Status: This mandatory drop-down field defaults to Active, with the option for user modification. The status options are retrieved via API from the Client Status Master in EOH.
      • In read mode, Client Address, Email, and Phone Number will be displayed and passed when pushing the client from XR to EOH.
      • Once all fields are checked, click on the Share Client button.

The following client details will also be synced to EOH: Client Name, Email, Phone Number, and Address (Location Details).

Upon successfully sharing a client to EOH, a pop-up notification will confirm the creation, displaying the assigned Client ID from EOH and clicking it will show the details.  This Client ID is then updated in the client's record within XeopleRecruit (XR) to ensure data consistency across both platforms. Additionally, XR sends this Client ID back to EOH for future reference, maintaining synchronisation between the systems.

Share Client

    • The Share & Exit will let you save the client only in XR.
  • All the transactions will be recorded Client Summary > Activity as well as the audit log (System Settings > System Audit Log).

Similarly, to add a client from the Quick add Client panel, follow these steps:

  • Navigate to the main navigation header bar and click on the Quick add Client (+) on the top left side.
  • Select Client and follow the steps outlined above to create a new client.
