Share Job with Entire OnHire (EOH) - Jobs Landing

The Share Job feature enables you to send job details, including associated client and member (candidate) information, to Entire OnHire (EOH). You can even share job(s) without any member(s). This functionality facilitates the allocation of shifts (allocations staff appoint members to shifts), streamline job sharing by eliminating redundant entries, and support smooth payroll for both permanent and temporary placements. Upon sharing a job with member to EOH, the individual receives a notification containing login credentials for the member app, allowing them to view assigned shifts and respond by accepting or rejecting them as per their availability.

Before going through this article, we strongly recommend you read the Entire OnHire integration article, click here: Marketplace Configuration - Entire OnHire (EOH). This article will give you information on how EOH is integrated and how you can subscribe the feature(s) under it.

To ensure seamless integration between XR and EOH, it's assumed that all relevant features have been subscribed to from the marketplace (Share Job, Share Client and Share Personnel to EOH).

 If both the client and member are already in EOH, and the Share Client and Share Personnel features aren't subscribed from the marketplace, you can still share the job, provided the Share Job feature is subscribed.

To share a job with EOH from the Job landing three-dot button, follow the steps below:

  • Navigate to the main navigation header bar and click on Jobs.
  • Click on a Job Workflow and select a job from the list below.
  • Click on the three-dot button and select Share Job.

 If the Share Job feature is subscribed but the Share Client feature is not, clicking on the Share Job option will prompt the user with: Share Client feature is not subscribed from the marketplace. Click here to subscribe. Job cannot be shared without a client. Map a client before sharing the job.

  • A share job pop-up with three tabs—Share Client, Assign Member, and Job Order—appears if the client or member isn't in EOH, allowing you to initiate their transfer from XR to EOH.

Cases of the Job Share feature:

  • If both the client and member do not exist in EOH: All three tabs—Client, Assign Member, and Job Order—will be displayed.
  • If the client exists but the member does not: You’ll be taken directly to the Assign Member A Back button will appear, indicating that the client already exists in EOH.
  • If the member exists but the client does not: All tabs will be visible. The selected member will appear as disabled and marked as successfully pushed.
  • If both the client and member exist: You'll land directly on the Job Order screen, with the ability to go back to view it is already shared.
  • Head Count rule:
    • If only one candidate is in the Hired stage (either mapped to the Hired stage type or any stage mapped to Ready to Hire) and not yet in EOH, and the job’s headcount is one, the dropdown will display just that candidate and auto-select them.
    • If a job has a headcount of three and three candidates are in the Hired stage, the last moved candidate will auto-populate in the Assign Member tab (based on the timestamp).
      • If not shared, you'll see the full form.
      • If already shared, a message like already shared to EOH will be shown.

You can select a member from the list if there are multiple candidates in the Hired stage (either mapped to the Hired stage type or any stage mapped to Ready to Hire) and the system will check the member’s availability in EOH accordingly. You may also choose to deselect and share the job without a member, based on your needs.

  • No candidate in Hired stage: You will have to push job without a member.
  • The Assign Member   screen will display the selected member along with four tabs if not in EOH: Candidate Profile, Notes, Employment Status, and Review & Summary. Review and fill in the necessary details, then click Continue to proceed through each tab. After completing all tabs, you will be taken to the Job Order Screen.

Members extracted from EOH cannot be pushed back as members to EOH. If member information appears in a disabled state, verify the source.

Share Job - Assign Member

  • In the Job Order screen:
    • Service Location: Displays the client’s name in read-only mode.
    • Assign Candidate as Member: Displays the member’s name in read-only mode.
    • Role/Qualification: Mandatory single-select dropdown, auto-populated with qualifications from the EOH API. The qualification master from EOH will source the list.
    • From & To: Mandatory date picker, defaulting to the current date, but users can modify it.
    • Shift Type: Mandatory single-select dropdown, auto-populated with shift types from the EOH API. The member shift master in EOH will source the list. If a client's shift is marked as default in EOH, it will display by default; otherwise, AM will be the default.
    • Start Time: Auto-picked based on the selected shift type but can be manually updated using the timer icon. Defaults to 09:00 AM.
    • End Time: Auto-picked based on the selected shift type but can be manually updated using the timer icon. Defaults to 05:00 PM.
    • The Servicing Office field is mandatory and initially blank, but it auto-populates with values fetched from the EOH API.
    • Contact Person (Professional): Displays the recruiter’s name in read-only mode.
    • Notes: It will be a free text field where you can enter your notes.
  • Upon completing all the fields, click on Share Job.
    • If a member already exists in EOH with a status other than Active, a message will appear: "This candidate is not active. Do you want to push this candidate as Active?" You can either activate the member or choose to share the job without assigning a member, as an Active status is mandatory to push a job with a member upon clicking Share Job.

Upon clicking the Share Job button, the Job will be shared to EOH and EOH will pass on the Job ID to XR which will be updated in the Job Summary page.
