Enhancements

1.  Contacts Landing Page – Send Bulk Mail to Contacts

We have introduced a new feature that enables you to send Bulk SMS to all selected contacts directly from the Contact Landing page.

Key Changes:

  • In the Contacts Landing page, we have added a checkbox option against each Contact and select all option is also placed to select all the contacts. Once you click on select all option it will select all the Contacts from that active page as per the pagination and records selected to show per page by you.
  • You can now unselect all previously selected Contacts using the same select option. You can select multiple Contacts via checkboxes as per your requirement. The Send Mail option under the three-dot button is enabled when you select single or multiple contacts.
  • Upon selecting a contact(s) and clicking on the Send Mail option, the standard mail body will open from the right panel, similar the functionality of the current system.
  • The email option is now enabled regardless of whether an email is connected. If connected, the email will be sent through the connected email ID; otherwise, it will be sent as a system email notification. All email fields remain the same and undergo the same bulk email validation process as currently implemented in the system.
  • Upon clicking this option, it opens the compose email body with prefilled information, including the From and To email IDs.
  • You can now send an email directly from the Contact Summary page for individual contacts.
    • This implementation is applied to the following path: Tenant → Contact → Contact Summary → Three dot icon → Send Mail.
  • The system syncs this action into the Activity section of the specific client associated with this contact. It only syncs activities for emails sent from the logged-in user account.

2.  Contacts Landing Page – Send Bulk SMS to Contacts

We have introduced a new feature that enables you to send Bulk SMS to all selected contacts directly from the Contact Landing page.

Key Changes:

  • In the Contacts Landing page, we have added a checkbox option against each Contact and select all option. Once you click on select all option it will select all the Contacts from that active page as per the pagination and records selected to show per page by you.
  • You can now unselect all previously selected Contacts using the same select option. You can select multiple Contacts via checkboxes as per your requirement. The Send SMS option under the three-dot button is enabled when you select single or multiple contacts.
  • Upon selecting a contact(s) and clicking on the Send SMS option, the standard SMS body, similar the functionality of the current system.
  • Alternatively, you can send SMS messages directly from the Contacts Landing page by simply clicking on the SMS button next to the Phone number. This action will immediately open the Send SMS pop-up screen.
  • You can now send SMS directly from the Contact Summary page for individual contacts, either specifically from the SMS section or by clicking on the three-dot icons labelled Send SMS or directly from the Clients This functionality is based on successful integration with the SMS partner in the Marketplace. If integration is not successful, the SMS button or option will appear in disabled mode.
  • The new SMS section is positioned just after the Client section under the Contacts Summary It features an SMS archive displaying all sent and received messages, including details such as status, date, time, and profile picture, consistent with the application's format. You can send new SMS messages directly from this section by clicking on the New SMS option.
  • Upon the initial use, clicking on the New SMS option will open the Send SMS pop-up screen. If users have previously exchanged SMS messages with contacts, all chats will be displayed on the right-side screen, along with the option to send a new SMS, like the functionality for candidates.
  • The SMS pop-up screen maintains consistency with the current system, ensuring that all fields and validations for bulk SMS remain the same. Once an SMS is sent, it will be synced in the SMS Section Screen.
  • Sent and received SMS messages will be synced in the Client Activity log, providing users with a comprehensive overview of all communication activities related to contacts.

3.  Quick Add Candidate - Map Recruiter

We've added a feature that allows mapping a recruiter to each candidate directly from the Quick Add Candidate panel during candidate creation.

Key Changes:

  • When adding a candidate, a new optional dropdown field Recruiter is added. This dropdown lists all active employees (users invited to the application) and is placed after the position field.
  • The Recruiter field is designed as a multiple selection field, displaying recruiter names in chip form with a cross icon for easy removal.
  • Once a recruiter is mapped to a candidate, this information will be visible on the Candidate Landing page after the Position The same feature has been integrated into the filter and customise column options.
  • On the Candidate Summary page, the recruiter's name will appear under general information, positioned just after the position field. During editing, you can modify this field.
  • For enhanced usability, recruiter names are displayed with a profile picture and name tooltip or in chip form.

4.  Client Summary – Note - Contacts

We're have introduced a new feature that enhances your ability to manage contacts and streamline note searches. Specifically, we have added a Contacts field within the client notes section, enabling you to associate notes with specific contacts.

Key Changes:

  • Added Contacts field while creating Note:
    • When accessing the Notes tab of the client summary and clicking on the Add Notes button, you will see a new filed added as Contacts.
    • The drop-down menu populates contacts associated with the selected client only. If no contacts have been mapped to the client, the dropdown will appear disabled or blank.
    • You can select multiple contacts, which will then be displayed as chips.
    • Upon clicking the Save button, any selected contacts are displayed below the Title

5.  Staff Tagging in Comments & Notes - Across Application

We have introduced the feature enabling users to mention employees or invited users in the comment box on the Job Action page using the "@" symbol followed by the initial letter, for example, "@n".

Key Changes:

  • For example, when @n is entered, a list of all employees or invited users in the system is displayed.
  • You can remove a mentioned user by using the backspace key.
  • When an employee is mentioned, they will receive a web notification. A red number indicating the number of new notifications will be displayed next to the bell icon in the application.
  • Clicking on this button will show the notification, including the name of the employee who mentioned them and the path of the mentioned ones.
  • The notification will include the date and time of the message, and options to mark it as read/unread or delete it.
  • This functionality is applicable in various paths:
    • Candidate → Notes
    • Job → Notes
    • Client → Notes
    • Employee → Notes
    • Job action → Notes
    • Job action → Comments
    • Job action → Candidate → Notes
    • Job action → Client → Notes
    • Job action → Job → Notes

6.  Client Landing – List/Graph View - Send Mail to Contacts

We have introduced the option to Send Email to Contacts of clients directly from the three-dot menu on the client landing page.

Key changes:

  • On the Client Landing page's graph view, checkboxes are now available next to each client name. Select clients by checking these boxes and then choose Send Mail to Contacts from the three-dot menu.
  • Selecting Send Mail to Contacts option displays the standard Mail screen, featuring two new checkboxes below: Primary Contact and All Contacts. The default selection will be the Primary Contact, displaying their email ID in a chip if marked.
  • If no Primary Contact is assigned, the checkbox will be disabled with a note stating: No primary contact is selected. Click here to select, redirecting to the contact tab for selection. This feature works only for single client selection. In the absence of a primary contact, all contacts will be selected.
  • For multiple clients, if none of the client contacts are designated as primary, the checkbox will be disabled; otherwise, the primary contact number for the corresponding client will be displayed.

7.  Client Landing – List/Graph View - Send SMS to Contacts

We have introduced the option to Send SMS to Contacts of clients directly from the three-dot menu on the client landing page.

Key changes:

  • On the Client Landing page's graph view, checkboxes are now available next to each client name. Select clients by checking these boxes and then choose Send SMS to Contacts from the three-dot menu.
  • Selecting Send SMS to Contacts option displays the standard SMS screen, featuring two new checkboxes below: Primary Contact and All Contacts. The default selection will be the Primary Contact, displaying their email ID in a chip if marked.
  • If no Primary Contact is assigned, the checkbox will be disabled with a note stating: No primary contact is selected. Click here to select, redirecting to the contact tab for selection. This feature works only for single client selection. In the absence of a primary contact, all contacts will be selected.
  • For multiple clients, if none of the client contacts are designated as primary, the checkbox will be disabled; otherwise, the primary contact number for the corresponding client will be displayed.

8.  Candidate Landing Page – New filter of Created Date

We have introduced a new filter, Created Date, on the Candidate Landing page. You can now access this feature by navigating to Tenant → Candidate → Candidate Landing → Filters. With this enhancement, you can apply filters based on the candidate's creation date.

Key Changes:

  • The Created Date filter enables you to define a specific set of candidate records based on specified date criteria.
  • This filter is alphabetically added under the filters section.
  • You can select from standard conditions like Is Greater than, Is Equals to, or Is Less than.
  • Additionally, you can choose the date from the calendar. All other filter functionalities remain consistent with standard behavior.

9.  Client Summary – Contacts - Send Bulk Mail to Contacts

We have introduced a new feature allowing you to send Bulk Mail to all selected Contacts in the Contact section under the Client Summary page.

Key Changes:

  • In the Client Summary page, under the Contacts tab, we have added a checkbox option against each Contact and select all option is also placed to select all the contacts. 10.  Client Summary – Contacts - Send Bulk SMS to Contacts

We have introduced a new feature in the Contact section under the Client Summary page, where you can designate only one contact as the primary contact for a specific client. This primary contact can be marked using a toggle icon, and you are allowed to select only one primary contact.

Key Changes:

  • Additionally, we have made changes to the user interface. The three-dot icon has been removed, and the Delink option is placed above it, allowing you to delink multiple contacts at once. The Create Contact button is replaced by an Add icon, which displays a tooltip Create Contact upon hovering.
  • We have also added the option of sending Bulk SMS in the three-dot icons under the Client Contacts In the list view of contact records, SMS and Call icons have been placed before the Phone Number, allowing you to send SMS directly.
  • Furthermore, we have introduced checkbox options against each Client Contact, along with a Select all You can select all contact records by clicking on the Select all option and can unselect all selected contacts from the same select option. You can also select multiple contacts through checkboxes as per your requirement.
  • The Send SMS option is enabled when you select at least one contact. Upon selecting contacts from the list view or filtering selected contacts through available filters, clicking on the Send SMS option from the three-dot icons will open the standard SMS screen pop-up screen, consistent with the current system. The Send SMS option is enabled when SMS integration is connected through the Marketplace.
  • The process remains the same as in the current system. If SMS has not been sent previously, it will open a new SMS screen; if already sent, the chat will display, and you will have the option to send a new SMS from there.
  • All SMS will be stored in the SMS section under the contact summary page and will also sync in the Activity of the Client.
    • The path is: Tenant → Contacts → Contacts Summary page -> SMS Section.
  • All SMS fields remain the same and will work with the same validation as in the current system.

11.  Activity – Across Application

We've enhanced the Activity log by providing detailed messages for actions taken within each module.

Key Changes:

  • Candidate:
    • When candidate is created by Form, Xeople Smart-email, EOH the message will read Agnes Thomas has been successfully created through Form by Neelam Singh.
    • When a candidate is created through sources other than Form, Xeople Smart-email, or EOH, the message will state Agnes Thomas has been successfully created through Broadbean.
    • Similarly, added message for Status Change which reads Status of Agnes Thomas has been changed from New to Interviewed by Neelam Singh.
    • Job Assigned message shows Agnes Thomas has been assigned to the Job: Software Engineer (Job Reference ID: #12365) by Neelam Singh.
  • Client:
    • Client creation messages states: Atura Hotel Dandenong has been successfully created by Neelam Singh.
    • Job Closed message states: Neelam Singh has closed the job for Senior Sales Executive (Top-2023-11).
  • Notes will now record Contacts in the Activity These entries will follow the Category field in the same sequence and layout as seen in the Notes screen. If you haven't filled out this information, the field won't be shown in the activity log.

Furthermore, comments marked through Job Actions are automatically saved. The format for synced comments in the Activity log is: "Comment added for (Candidate Name) in Screening-->Round 1 (Workflow stage name) by (Creator Name) (Date & Time).

12.  Contact Placeholder in Email & SMS Template

We've added a Contacts option to the Related To dropdown menu in Email Templates. Additionally, a Contact placeholder is placed in both Email and SMS Templates, offering specific options under My Profile.

Key Change:

  • You can effectively use the placeholder when configuring the email template.

13.  Bulk Email and SMS – Across Application

We have implemented the feature to make Activity events clickable, allowing you to redirect to specific sections or tabs.

Key Changes:

  • If you click on any event registered under Activity like Notes, Email, Meeting or SMS. On clicking that tab will redirect to that tab under the Candidate or Client Summary
  • Navigate to the Activity section:
    • Path: Tenant → Candidates → Candidate Summary → Activity.
    • Path: Tenant → Clients → Client Summary → Activity.
  • For Job Actions, selecting the Action option will now open a new tab, allowing you to access the Candidate & Client tab conveniently located on the right-hand side.
  • When accessing the Activity section, clicking on a specific activity type, such as Note, will now directly redirect you to the corresponding Note section on the Candidate or Client Summary
    • Path: Tenant → Jobs → Jobs Summary → Three-dot icons → Action → Candidate → Activity
    • Path: Tenant → Jobs → Jobs Summary → Three-dot icons → Action → Client →Activity.
  • This implementation covers all cases mentioned, including Notes, Email, Meeting, and SMS.

14.  Home – Quick Add Contact – Create Contact

We have updated the Contacts. Now, when creating a contact, you will notice that the Last Name field is marked as optional. Additionally, we have introduced a new optional drop-down field Contact Owner. This field includes active employees who have been invited to the application, allowing you to select multiple contact owners as needed.

Key Changes:

  • Contact Owner field is directly placed after the Phone Number field in the create contact form.
    • This implementation is applied to the following paths:
      • Tenant → Contacts → Add Contacts
      • Tenant → Clients → Clients Summary → Contacts → Create Contacts
    • Contact Owner is now visible under the Personal Details section on the Contact Summary When editing, it appears as an editable field following the phone number field.
      • Implemented in the following paths:
        • Tenant → Contacts → Contacts Summary → View Summary → Personal Details
        • Tenant → Contacts → Contacts Summary → View Summary → Edit Personal Details
      • Additionally, it displays on the Contact Landing page after the Phone No This update is reflected in both the Create Contact section and the Assign Contact pop-up screen under Client Summary.
        • Implemented in the following paths:
          • Tenant → Clients → Client Summary → Contacts → Assign Contact
          • Tenant → Clients → Client Summary → Contacts → Contact Listing
          • Tenant → Jobs → Job Summary → Job Actions → Client → Contact
        • A Contact Owners filter has been added under the contact section to allow filtering by specific owners. You can select multiple owners using the contain condition to filter the results accordingly.

15.  Default 200 Records should show on landing page – Across Application

We have set the default record display to 200 records. Additionally, you can select from other options such as 50, 100, and others from the dropdown menu to customise the number of records displayed based on your preference.

The affected pages include:

  • Candidate Landing
  • Client Landing and Client Graph View & Listing
  • Employee Landing
  • Contacts Landing
  • Job Landing (Click on Workflow stage count - Candidate Application List)
  • Job Summary (Click on Workflow stage count - Candidate Application List)

16.  Xeople Search – EHR Integration Marketplace: Redirect to Marketplace Main Page when specific Features not Subscribed

If the Entire OnHire pool is integrated but the Search, Match & Extract Entire OnHire Members and Push Job to Member App notification features are not subscribed, clicking on the Click here to integrate from Marketplace link in Xeople Search will redirect you to the Marketplace Main Subscribe Feature page.

17.  Xeople Search – EHR Integration Marketplace: Redirect to Marketplace - EHR

We have implemented the change were clicking on the Click here to integrate from Marketplace link in Xeople Search while selecting the Entire OnHire pool will redirect you directly to the Get Started section of the EHR pool card.

18.  Xeople Search – EOH – Search will be highlighted

We've enhanced the Entire OnHire search functionality in Xeople Search. When selecting the search pool as Entire OnHire and conducting a search, the search details will now be highlighted for each candidate in the search results.

19.  Job Landing – Filters – All Job Owners

We have improved the Job Filter by introducing the All Job Owner filter. When applied, this filter displays all jobs (both active and expired) for all owners associated with the job.
