1. Master Data – Job Automation – Job Action Window
We created a master for Job Automation, enabling you to configure the tabs inside the job action window for each Stage Type in a Stage.
Key Highlights:
- Job Automation Master: Access two tabs, Job Action and Progress Reminders.
- Job Action Tabs: These tabs will appear in the Job Action window.
- Application: First tab, displaying the application form.
- Notes: Second tab, which cannot be altered and appears by default in all workflow stage.
- Interview: Third tab, with all current functionalities.
- Entire OnHire fourth tab and Status fifth tab.
- Assessment sixth tab, Hired seventh tab, Offered eighth tab and Share Profile ninth tab, currently disabled.
- Sequence Change: Use the six-dot icon to drag-and-drop and reorder these tabs, which will appear accordingly on the Job Action
- Customise Name: Rename the job action tabs as needed, with a maximum character limit of 20. An error message will display if the limit is exceeded: Maximum character limit is 20.
- Show/Hide Feature: Toggle to show or hide job actions as required. By default, the toggle is enabled, meaning the job action appears in the job action window for all selected stages. If disabled, the job action will not appear, but mapping data will be retained.
- Notes Tab: Always displayed by default on all stages. Other tabs are configurable, except for Notes. Thus, in the master, the show/hide column and the map job workflow stage column will be disabled for editing.
- Map Job Workflow Stage to Allow Job Actions:
- Default Mapping: Certain stage types are pre-mapped to each job action: Applied, Shortlisted, Screening, Interview, Offered, and Hired. You can add more by clicking on the tile. Similarly, to disable it unclick it.
- The Job Action tab(s) will be reflected for each stage in the job workflow if ticked. Unticked actions won't appear. For example, if the Interview tab is set as the 3rd tab and renamed as Meetings, and it's in Show mode with the stage mapped to the Applied, Interview, and Screening stages, then the Interview tab will appear as Meetings in the 3rd position in these stages.

2. Jobs - Job Action Window – Impact of Job Automation Masters
We describe the impact of the Job Automation Master on the Job Action window.
All changes described below are set from the Job Automation Master, so any modifications in the master will be visible across all stages in all Job Workflows.
Key Highlights:
- The sequence set in the Job Automation Master will reflect in the Job Action window for all the stage types. For example, if the sequence is Notes first, Application second, and Interview third, the end user will see the tabs in this order. This sequence will be consistent across all stages for the candidate, except for stages with no stage type mapped.
- Enabling the Show/Hide option for any workflow stage means that tab will not be visible for that workflow stage.
- If information is saved in any tab before moving to the next stage, it remains saved in the backend even if that tab is temporarily hidden. Once the tab is re-enabled for that stage, the previously saved information becomes visible.
- The Customise Name option allows the tenant user to change the tab name as required. This customised name will be visible to all users accessing that Job Action
- Map Job Workflow Stage Type to Allow Job Action: Any changes mentioned above will reflect only in the workflow stage mapped in this column. The Job Action tab(s) will be reflected for each stage in the job workflow if ticked. Unticked actions won't appear. For example, if the Interview tab is set as the 3rd tab and renamed as Meetings, and it's in Show mode with the stage mapped to the Applied, Interview, and Screening stages, then the Interview tab will appear as Meetings in the 3rd position in these stages.
- If the user is in a status tab set as visible and changes the candidate's status to the next or previous stage, the screen refreshes. If the next stage does not have the status tab, it will be removed from the refreshed screen, showing only relevant tabs to that stage. By default, the user will land on the Notes Tab in this scenario. If the status tab is in Show Mode for the next stage, the user will remain in the status tab after the screen refresh.
3. System Settings – Candidate Source
We've introduced a new feature allowing you to set candidate status, tags, and folders for candidates created via various sources like Form, Application Form, EOH, Xeople SmartEmail, etc., enhancing customisation according to your preferences.
Key Highlights:
- Added a Candidate Source tab under System Settings.
- The search bar displays results for data in any column, with relevant ones at the top.
- Clicking the eye icon redirects to the system audit log page, while the refresh icon updates data.
- The screen comprises six columns: Application Source, Description, Status, Tags, Folders, and Last Updated On.
- Clicking the three-dot button allows editing of status, tags, and folders.
- The Application Source column remains static, showing consistent information across all tenants.
- Default status is tenant specific and cannot be configured at once across all tenants.
- The status field is mandatory and single-select, appearing as a drop-down menu with active statuses from the candidate status master. The system displays the status in the colour configured in the master.
- Tagging and adding candidates to folders are now optional multi-select fields, with excess tags/folders shown as +3 more upon hovering.
- The Last Updated On column shows data based on recent activity.
- On the edit screen, the application source and its description are non-editable.
- Clicking Cancel discards changes, redirecting to the landing screen; clicking Save saves changes and redirects to the landing screen.
- All the status, tags, and folders associated with the source will now appear in the candidate’s profile.
- In the Candidate Status Master, the delete option for active status is disabled. Although the name remains editable, you cannot delete the active status.
