Edit File Details
This article explains which file fields you can edit based on your user role access level and file-level permissions, initially derived from Master Data → Access Permissions.

Some important points to note:
- If a user has Edit and Delete access, they can see Edit File Details, Versions, Delete, and Delete All for files.
- For folders, only the Delete option appears—Edit File Details and Versions are not available.
- Delete All: Delete file(s) and folder(s) (Public, Confidential, and Protected) based on your file-level permissions. Files(s)/Folder(s) will be soft deleted and can be recovered by the XeopleRecruit team, contact support. Select Also delete copy & all previous version(s) permanently to permanently delete the files and folders. This action is irreversible.
To navigating to the Edit File Details under the three-dot button, follow the steps:
- Navigate to the main navigation header bar and click on Candidates for example.
- You will find a list of all candidates. By clicking on a candidate, you will be redirected to the Candidate Summary page.
- Go to the Documents section and click on the three-dot placed in front of each uploaded file and choose Edit File Details.

Upon clicking the Edit File Details:
- Document Name: Optional dropdown that shows the existing document name (if any) or lets you select from a predefined list, like the one shown while adding a new file.
- File Name: Mandatory field that displays the current file name in edit mode, allowing you to update it if required.
- Reference ID: Displays the existing reference ID or remains blank in edit mode.
- Weightage: Shows the current weightage value or remains blank in edit mode.

- Start Date: Existing start date or stays blank in edit mode.
- Expiry Date: Existing expiry date or stays blank in edit mode.
- Access: Existing file access level or remains blank in edit mode.
- Add a comment against the document and click Save.
File Versions: If you have edit access based on your role access levels and file-level permissions, you'll see the Edit File Details and Versions options in the three-dot menu. The File Versions view shows recent versions with a delete option (if permitted) and lets you add new versions using Add Version.
A new version will be created only when a new file is uploaded with a versioning.
